Terms & Conditions

These terms and conditions (“Terms”) govern all bookings made through Flights Club UK, a trading name of Outlook Travel Ltd (company number 16776445), registered office 40 Arundel Gardens, Ilford, IG3 9SX(“we”, “us”, “our”). By making a booking with us, whether online, by phone or by email, you accept these Terms on behalf of everyone named on that booking, and you confirm you have the authority to do so.

1. Who You Are Booking With

For most bookings, we act as a booking agent — we arrange your flights, hotels, transfers or other travel services on your behalf with the airline, hotel or other supplier, who is the principal you're actually contracting with once your booking is confirmed. Where we sell you a package holiday (for example, a flight bundled with accommodation as a single price), we act as the organiser of that package and take on the responsibilities set out in the Package Travel and Linked Travel Arrangements Regulations 2018 (“the Package Travel Regulations”), described further below. We'll make clear at the point of booking which applies to your purchase.

2. ATOL Protection

Package holidays that include a flight, sold by Flights Club UK, are financially protected by the Air Travel Organiser's Licensing (ATOL) scheme. This protection is provided under ATOL number 3853, held by Brightsun Travel (UK) Ltd, through whom your package is protected — Outlook Travel Ltd does not hold its own ATOL licence. When you buy an ATOL-protected package from us, you will receive an ATOL Certificate confirming this. In the unlikely event that Brightsun Travel (UK) Ltd or a supplier used in your package holiday ceases trading, the ATOL scheme protects money you have paid and, if you are already abroad, helps arrange your return home where reasonably possible.

Flight-only bookings and other individual travel services (a single hotel stay, a car hire, etc.) sold on their own are not packages and are not ATOL protected in the same way — where relevant, protection instead comes from the supplying airline or the payment method you used (for example, Section 75 protection on qualifying credit card payments). We'll always tell you plainly whether a given booking is ATOL protected before you pay.

3. Booking & Payment

A booking is only confirmed once we have received your deposit or full payment (as applicable) and issued written confirmation. Prices shown before confirmation are indicative and subject to availability — they can change at any time until your booking is confirmed. The balance of any deposit-based booking must be paid by the due date we give you in writing; if it isn't, we may treat the booking as cancelled by you, and cancellation charges (see our Refund & Cancellation Policy) may apply.

4. Changes You Want to Make

If you want to change your booking after confirmation, we'll do what we reasonably can to accommodate it, but changes are subject to the supplier's or airline's own rules and may carry an amendment fee on top of any fare difference. For package holidays, you also have a statutory right under the Package Travel Regulations to transfer your booking to another person who satisfies all the conditions of the package, provided you give us reasonable notice before departure — we may charge a reasonable transfer fee to cover our actual costs.

5. Changes or Cancellation by Us

Occasionally we, or a supplier, may need to change or cancel a booking — most often due to matters outside anyone's reasonable control. For package holidays, the Package Travel Regulations set out specific rules: minor changes will be notified to you; for a significant change or cancellation before departure that isn't your fault, you'll normally be offered the choice of accepting the change, taking a suitable alternative package where available, or cancelling for a full refund, and you may be entitled to compensation except where the change or cancellation is due to unavoidable and extraordinary circumstances, low booking numbers (where we notified you of this possibility in advance), or is your own fault.

6. Cancelling a Booking You've Made

Full details of cancellation charges, refund timelines, and your rights (including how the standard 14-day distance-selling cancellation right applies differently to date-specific travel bookings) are set out in our Refund & Cancellation Policy, which forms part of these Terms.

7. Prices & Currency

All prices are quoted in pounds sterling (GBP) and include any taxes and charges known to us at the time of quotation, unless stated otherwise. For confirmed package holidays, we will only pass on a price increase where the Package Travel Regulations allow it — specifically, increases in transportation costs (e.g. fuel), taxes or fees imposed by third parties, or exchange rate changes — and only if we notify you at least 20 days before departure. You have the right to reject increases above 8% of the original price and cancel for a full refund instead.

8. Travel Documents, Passports & Visas

It is your responsibility to ensure that everyone travelling holds a valid passport (with the validity most destinations require — commonly at least six months beyond your return date), any necessary visas, and any health or entry documentation required for your destination. Requirements vary by nationality and destination and can change at short notice; we recommend checking directly with the relevant embassy or consulate as well as with us. We can assist with visa applications through our Visa Services, but responsibility for holding valid, correct documents remains yours.

9. Special Requests, Accessibility & Medical Conditions

Please tell us about any special requests, accessibility needs, or medical conditions that may affect your travel at the time of booking, so we can pass these to the relevant supplier. We'll do what we reasonably can to assist, but we cannot guarantee that every request will be met, as this ultimately depends on the airline, hotel or other supplier.

10. Travel Insurance

We strongly recommend that you take out appropriate travel insurance at the time of booking, covering at minimum cancellation, medical emergencies, and repatriation. Insurance is not automatically included unless specifically stated in your booking confirmation. Ask our team about our Travel Insurance options.

11. Our Liability

Where we act as your booking agent for a single travel service (for example a flight-only booking), our liability is limited to the reasonable care we take in making that arrangement on your behalf — the contract for the travel itself is between you and the supplier, whose own terms and conditions and liability limits (including any applicable under the Montreal Convention for air travel) will apply.

Where we act as the organiser of a package holiday, we accept responsibility as set out in the Package Travel Regulations for the proper performance of the package, except where any failure is due to you, an unconnected third party in a way we couldn't have foreseen or avoided, or unavoidable and extraordinary circumstances. We do not exclude or limit liability for death or personal injury caused by our negligence, or for fraud, or any other liability that cannot lawfully be excluded under English law.

12. Complaints

If anything about your booking or trip falls short, please raise it with us as soon as possible — ideally while you're still able to let the relevant supplier put things right — and then follow up in writing to info@flightsclubuk.co.uk within 28 days of your return, so we can investigate properly. If we're unable to resolve a complaint directly and it relates to a package holiday, you may be entitled to refer the dispute to an approved Alternative Dispute Resolution (ADR) body; we'll confirm the applicable scheme, if any, at the time.

13. Data Protection

We handle your personal data in accordance with our Privacy Policy, including data shared with airlines, hotels and other suppliers strictly as necessary to fulfil your booking.

14. Governing Law & Jurisdiction

These Terms, and any dispute arising from them or your booking, are governed by the laws of England and Wales, and the courts of England and Wales will have exclusive jurisdiction, save where mandatory consumer protection law gives you the right to bring proceedings in your own country of residence.
